GROUP PROGRAM POLICY AGREEMENT

MANDATORY CLOSURES OF PHYSICAL LOCATIONS

In the event that our physical locations are closed due to government directives, public health mandates, severe weather, or other circumstances beyond our control, Elite Music Academy reserves the right to continue classes online using Zoom or another suitable video conferencing platform.

EMAIL COMMUNICATION

All communication regarding scheduling, attendance, billing, withdrawals, and general lesson inquiries must be sent to [email protected].

To ensure timely processing, lesson-related requests sent to instructors or other Elite Music Academy email addresses cannot be accepted as official notification.

GROUP CLASS STUDENT

Group Programs are designed as collaborative musical experiences where students rehearse and perform together throughout the school year.

Students are expected to attend rehearsals regularly, participate respectfully, and make every reasonable effort to attend scheduled performances. Because each student’s participation contributes to the success of the group, students are expected to demonstrate commitment to both rehearsals and performances throughout each semester.

SEMESTERS

Our Group Programs are divided into two semesters during the school year.

Semester 1 begins in late September or early October (depending on the program). During this semester, students work together to prepare for their first group performance, which takes place in January.

Semester 2 begins after the January performance and continues through June, allowing students to continue developing their musicianship while preparing for the year-end performance.

REGISTRATION AND PAYMENT

Registration is completed through our online enrollment system.

The enrollment process includes the program’s payment schedule, important policy highlights, and a link to the complete Group Program Policy.

By completing enrollment, parents and students acknowledge that they have read and agree to the Elite Music Academy Group Program Policy.

Note: Music lessons are exempt from HST.

MISSED CLASSES

Because Group Programs are collaborative, individual make-up classes are not available when a student misses a rehearsal.

If Elite Music Academy cancels a class due to instructor absence or school closure, a make-up class or alternate arrangement will be provided.

Students who repeatedly miss rehearsals without a valid reason may not be eligible to participate in scheduled performances.

WITHDRAWAL FROM GROUP PROGRAMS

Students wishing to withdraw from a Group Program must provide eight (8) lessons’ written notice by email to [email protected].

Withdrawal requests are considered received only once they have been submitted by email to [email protected]. Verbal requests made to teachers or other staff members cannot be accepted as official notice of withdrawal.

This procedure allows the Lesson Coordinating Team to process the withdrawal, update schedules, and reopen registration for the vacant spot.

Lesson fees remain payable during the eight-lesson notice period.

LATE ARRIVALS

Students arriving late may join the rehearsal when appropriate; however, lost rehearsal time cannot be made up.

INSTRUCTOR ABSENCE

Elite Music Academy reserves the right to provide a qualified substitute instructor if the regular instructor is unavailable.

If a substitute instructor cannot be arranged, a make-up class or alternate arrangement will be provided.

SCHOOL CLOSURES

If a rehearsal is cancelled by Elite Music Academy due to severe weather, building closures, or other circumstances beyond our control, a make-up rehearsal or alternate arrangement will be provided.
