MANDATORY CLOSURES OF PHYSICAL LOCATIONS
In the event that our physical locations are closed by government or public health mandate, Elite Music Academy reserves the right to continue classes in an online format using Zoom or any alternative conferencing software.
EMAIL COMMUNICATION
Lesson inquiries, booking lessons, permanent changes to the student’s program, fees and feedback/suggestions must go to [email protected]
Single class cancellations and make-up arrangements must be communicated directly with the student’s instructor.
LATENESS
No lesson time will be made up if a student arrives late for a lesson.
STUDENT EXPECTATIONS
Elite Music Academy has a zero tolerance policy when it comes to bullying, harassment, or disrespect of the school facilities, equipment, teachers and staff. This applies to all students as well as parents/guardians. When action may be required, a warning will be given addressing specific behaviour(s). Should the student continue the behaviour(s) after the warning, the student will be dismissed from lessons, classes or camps and will not be allowed to return, forfeiting their lessons and no refunds will be issued. Parents/guardians are also expected to uphold these policies, and failure to comply will result in your child forfeiting their lessons and fees. There will be no exceptions.
Students are expected to conduct themselves in a respectful manner as would credit themselves, their schools, their communities, and their families.
STUDENT RESPONSIBILITIES
In order to facilitate successful and enjoyable lessons, all students should follow these three-commitments:
1. Commitment to regular practice. Progress doesn’t happen in one weekly 30 minute lesson – work and practice outside of lessons are necessary for growth.
2. Coming prepared to your lesson with all necessary materials (ie. instrument, lesson books, sheet music). Teachers are not required to provide materials if a student shows up without them.
3. Commitment to having fun and making music!
HOLIDAYS
You are not charged for lessons that fall on any statutory holiday – no make ups required. Please see our School Calendar for reference.
SNOW DAY / SCHOOL CLOSURE
In the event of a school closure by the TDSB due to inclement weather or at the discretion of Elite, lessons will be made up if cancelled by Elite Music Academy. You will be notified by email sent from our admin or from your teacher directly.
MULTIMEDIA & MARKETING RELEASE
You understand and agree that staff members and independent contractors working for Elite Music may record videos or take pictures of your musical activities for promotional purposes on social media or print advertising at any time.
REGULAR PRIVATE STUDENT DEFINITION AND PRIVILEGES
A Regular Private Student is a student who has either a 30-minute, 45-minute or 60-minute time slot reserved for a specific day and time each week with the same music teacher and is committed for the school year between September-June (see regular student withdrawal from private lessons below).
Regular students are able to perform in our recitals, as well as other performance opportunities throughout the year (when it is safe to do so).
TERMS AND PAYMENT CYCLES
There are 5 terms in our school year:
Term 1: September/October (payment processed from June 1st to June 15rd for existing students and at time of booking for new students)
Term 2: November/December (payment processed on October 1st)
Term 3: January/February (payment processed on December 1st)
Term 4: March/April (payment processed on February 1st)
Term 5: May/June (payment processed on April 1st)
July/August – Summer lessons are not part of our regular lesson school year and are booked based on student/teacher availability.
A regular student’s registration is automatically renewed for the upcoming school year (September – June starting the day after Labour Day). Payments are processed between June 1 and 15 unless notified via email by May 20th. Email notification to withdraw from lessons for the upcoming school year is to be sent to: [email protected]
For students that wish to withdraw from their upcoming school year the refund schedule is as follows:
a)notice given prior to May 20th (full refund)
b)notice given prior to June 20th (full refund minus the registration fee)
c)notice given prior to July 20th (refund minus 35% of your initial payment)
d)notice given prior to August 20th (refund minus 70% of initial payment)
e)no refund on term 1 (September – October) after August 20th. All subsequent terms and payment cycles will be canceled.
REGULAR STUDENT WITHDRAWAL FROM PRIVATE LESSONS WITHIN THE SCHOOL YEAR (SEPT – JUN) (8 LESSON NOTICE REQUIRED)
Students can withdraw from their regular lesson commitment at any time. If a Regular Student needs to withdraw during the school year (September – June), we require written notice via email to [email protected].
Once we receive the notice, you will have 8 lessons remaining from that date. Elite Music will refund any remaining tuition beyond the 8 lessons.
Any makeup lessons must be made up by their last day of lessons or they will be forfeited.
REGISTRATION AND PAYMENT REQUIREMENTS
A Regular Private Student is only fully registered once the following materials are submitted:
1. A signed Policy Agreement Form (online)
2. Annual Registration Fee
3. Credit card payment info
Note: Music lessons are exempt from HST.
In the event that the provided credit card is declined on our autopay system, Elite Management will contact you and payment must be arranged by the 15th of the month at the latest. If payment is not made, the remaining lessons of the term will be put on hold until payment has been received. If the cancellation policy is violated by withholding payment, those remaining lessons are forfeited.
MISSED/NO SHOW LESSONS (LESS THAN 24 HOURS NOTICE)
Students who don’t show up or cancel lessons without 24 hours notice are not eligible for a makeup. All student illnesses are subject to this 24 hours notice policy.
MISSED LESSONS AND MAKEUP POLICY (MORE THAN 24 HOURS NOTICE)
Regular Students are eligible for up to 2 makeup lessons per school year, provided that an email has been sent to their teacher’s email with a minimum of 24 hours notice. Makeups cannot be cancelled or rescheduled once booked.
Make-up lesson options will be arranged with the teacher directly within the same school year including the summer period (July-August).
STUDENTS ARRIVING LATE
No lesson time will be made up if a student arrives late for a lesson.
Guaranteed Lowest Fees for Regular Students
Same Discounted Fees are locked for the next year from the enrolment date and as long as the student remains active.
Ative Students are students who take private regular weekly lessons throughout our regular year (September-June). Summer lessons in the summer months of July and August are always optional
TEACHER ABSENCE
Elite Music Academy reserves the right to have an adequate supply teacher sub in, if a teacher is ill, absent or unavailable. If Elite Music Academy can not provide a supply teacher, the student will receive a make-up lesson for each lesson a teacher is away. If an instructor plans to be away for an extended period of time, a supply teacher will be arranged.
TEACHER CHANGE
In the event where a permanent teacher change becomes necessary, Elite Music will have a new teacher with equivalent credentials to take over. If a student wishes to withdraw from lessons, the regular cancellation policies apply.
HOLIDAY / SNOW DAY / SCHOOL CLOSURE
In the event of a school closure or inclement weather, lessons will be made up if cancelled by Elite Music Academy.
CASUAL STUDENT REGISTRATION AND PAYMENT ( Pay As You Go)
1. This Policy Agreement Form
2. The required fee for the individual lesson or lesson package. Fees must be paid 24 hours in advance of the lesson in order to confirm the time slot.
CASUAL STUDENT MAKE UP LESSONS
Any casual lesson booked will not be made up if canceled by the student.
SNOW DAYS / INCLEMENT WEATHER
On occasion where it is deemed unsafe to hold lessons (as determined by Elite Music Academy Management), students will be contacted by email and all missed classes will be rescheduled. As this is highly inconvenient, such action is only taken on the most severe of weather (some snow or heavy rain will rarely cause class cancellations).
CASUAL STUDENT DEFINITION, AGREEMENT AND LIMITATIONS
A Casual Student is a student who wants to book lessons occasionally or is unable to commit to a weekly lesson day/time. Lessons are booked with a specific instructor based on that instructor’s availability.
Lessons must be paid for and booked 24 hours in advance.
STUDENTS ARRIVING LATE
No lesson time will be made up if a student arrives late for any lesson.
MULTIMEDIA & MARKETING RELEASE
You understand and agree that staff members and independent contractors working for Elite Music may record videos or take pictures of your musical activities for promotional purposes on social media or print advertising at any time.
Enrolment in lessons at Elite Music Academy assumes compliance
with the above policies.
